2. Purpose & Scope
This notice explains which personal data Crewted processes, for what purposes, on which legal bases, and for how long—particularly in the context of:
- visiting our website,
- your application as a candidate,
- collaboration with companies (clients),
- communication (contact form, email, phone), and
- our marketing (only with consent).
3. Categories of Personal Data
3.1 Website Visit (server logs, technically required)
IP address, date/time, pages/files accessed, referrer, user agent/browser, operating system, and any error codes. Source: automatically collected when you access the site.
3.2 Communication / Contact
Master and contact data (name, email, phone), content of your inquiry, and metadata (timestamp, channel).
3.3 Applications (candidates)
Master/contact data (name, address, email, phone); professional data (CV, certificates, qualifications, skills, salary/location preferences, availability); other content/documents you provide.
Note on special categories (Art. 9 GDPR): Please do not submit sensitive data (e.g., health data, religion) unless required for the specific process and provided by you voluntarily.
3.4 Clients & Business Partners (companies)
Contacts, roles, business contact details, job details, contract and billing data.
4. Purposes & Legal Bases (Art. 6 GDPR)
- Website operation/security (server logs, hosting, DDoS protection): Art. 6(1)(f) GDPR (legitimate interest in stable and secure provision).
- Communication & request handling (form, email, phone): Art. 6(1)(b) GDPR (pre-contractual/contractual) or Art. 6(1)(f) (general inquiries).
- Application processing & placement (matching, forwarding to companies with prior coordination): Art. 6(1)(b) and Art. 6(1)(f). Where you provide additional information voluntarily or consent to a talent pool: Art. 6(1)(a).
- Client management/contract handling/billing: Art. 6(1)(b) and Art. 6(1)(c) (legal obligations).
- Direct marketing by email (e.g., newsletter): Art. 6(1)(a) (consent) or Sec. 7 UWG under the existing customer exception—opt-out at any time (Art. 21(2) GDPR).
- Legal enforcement/IT security/record-keeping: Art. 6(1)(c) and/or (f).
5. Recipients & Processors
We use service providers (processors within the meaning of Art. 28 GDPR) for hosting, technical provision of the website, and receiving/forwarding forms/applications. They process data solely on our instructions and on the basis of data processing agreements.
As part of a placement, we forward application data to specific client companies only after prior coordination with you (purpose: filling a position).
Third-country transfers: If services outside the EEA are used, we ensure appropriate safeguards (e.g., EU Standard Contractual Clauses and, where necessary, supplementary measures). Details are available on request.
6. Retention Periods
- Server logs: generally 7–30 days; longer only for evidence purposes.
- Communication/inquiries: until completion; thereafter pursuant to commercial/tax law 6–10 years (relevant correspondence only).
- Applications: typically 6 months after completion of the process (e.g., for AGG defense). Longer storage only with your consent (talent pool, typically up to 24 months or until withdrawal).
- Client data/contracts/invoices: statutory retention 6–10 years.
7. Obligation to Provide Data
Certain information is required for an application or for initiating a placement. Without it, we cannot carry out the process. There is generally no legal obligation to provide data.
8. Your Rights (Art. 15–21 GDPR)
- Access, rectification, erasure, restriction, data portability.
- Objection to processing based on legitimate interests (Art. 21(1) GDPR) and objection to direct marketing (Art. 21(2) GDPR).
- Withdrawal of consent with effect for the future (Art. 7(3) GDPR).

Right to lodge a complaint: You may lodge a complaint with a data protection supervisory authority, e.g., the authority competent for your place of residence or for Crewted.
9. Security
We protect data through organizational and technical measures (e.g., access controls, state-of-the-art encryption). Absolute protection against all risks of internet transmission cannot be guaranteed.
11. Contact Forms & Email/Phone
We process inquiries via forms, email, or phone to handle your request (Art. 6(1)(b)/(f) GDPR). Form data is received by technical providers and forwarded to Crewted; processing agreements are in place. Data is deleted once the purpose ceases and no retention obligations apply.
12. Applications & Talent Pool
We process your application data to review, match, and place you with suitable companies (Art. 6(1)(b)/(f) GDPR). We share your data with specific companies only after prior coordination with you.
With your consent, we will include you in our talent pool to contact you about future roles (consent, Art. 6(1)(a) GDPR; withdrawal at any time).
Please do not submit sensitive data (Art. 9 GDPR) unless required and provided voluntarily by you.
14. Changes to This Privacy Policy
We may update this notice from time to time (e.g., when processes change). The version published here is the one currently in force.
